3. How Information Reaches Us
We keep general questions and service requests separate, to protect your sensitive information.
- Contact form: for general questions only. Please do not send passports, ID, proof of address, bank documents or other sensitive documents through the contact form or ordinary email.
- Client portal: for service requests, company details and due diligence documents. Requests are started through our secure client portal.
Submitting a question or starting a request does not by itself create a client relationship. ACS may ask for more information, carry out further review, or decline a request before accepting it.
4. How We Use Information
- To answer your questions and send information you ask for, such as our checklist.
- To review requests and carry out due diligence and identity verification.
- To form and maintain your company and provide registered agent, registered office, renewal, compliance, document, banking and other services you request.
- To keep the records required of a licensed registered agent.
- To communicate with you and with people you authorise us to deal with.
- To meet our legal, regulatory, anti-money laundering and record-keeping obligations.
- To prevent fraud, misuse and unauthorised access.
- To improve our website, forms, portal and services.
5. Legal Basis
We handle personal information in line with Saint Lucia’s Data Protection Act and other laws that apply to our services.
Depending on the situation, we process information because you have consented, because it is needed to take steps before or to carry out our engagement with you, because the law requires it, or for our legitimate administrative, security and risk-management needs.
6. Who We Share It With
ACS does not sell personal information. We share information only where needed, with:
- The Saint Lucia company registry and other government authorities, to form and maintain your company.
- Regulators, courts and law enforcement, where the law requires it.
- Banks and financial institutions, when you ask for banking assistance and authorise us to share your information.
- Independent professionals, such as accountants, when you ask us to refer you to them.
- Lawyers and professional advisers, where needed for your matter.
- Service providers that support our operations, such as website hosting, the client portal, forms, email, payment and analytics providers.
- Authorised representatives and other people you instruct us to deal with.
7. International Handling
Our clients, some of our service providers and some authorised ACS personnel are located outside Saint Lucia. Your information may therefore be stored, accessed or processed in other countries, including by authorised ACS personnel working from outside Saint Lucia.
Access is limited to people who need the information to provide our services or meet our legal duties. When information is handled outside Saint Lucia, we take reasonable steps to protect it, based on the type of information and the data protection laws that apply.
8. Security
We use reasonable administrative, technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure. Due diligence documents are collected through our secure client portal rather than ordinary email. Access to client information is limited to authorised personnel and is reviewed every quarter.
We have an internal procedure for responding to data security incidents, including notifying affected people and authorities where required.
No website, email system or online transmission can be guaranteed completely secure. Please follow our instructions for sending documents, and keep your portal login details private.
9. How Long We Keep It
We keep personal information for as long as needed for the purpose it was collected and to meet our legal duties. Different records are kept for different periods:
- Anti-money laundering transaction records: at least seven years after the transaction is completed.
- Company, ownership and due diligence records: for the periods required by Saint Lucia law and our registered agent obligations, including after a company is closed or moves to another agent.
- Records subject to a regulatory request or legal hold: until the regulator or legal hold releases them.
- General questions that do not lead to a service request: only as long as reasonably needed.
10. Cookies and Analytics
This website uses cookies and similar tools to run the site, support forms, understand how the site is used and protect it from misuse. You can control cookies through your browser settings. More detail is in our Cookie Policy.
11. Your Rights
Subject to applicable law, you may ask us to:
- Tell you what personal information we hold about you and how we use it.
- Correct information that is inaccurate or out of date.
- Delete or limit the use of certain information.
- Stop sending you emails, or withdraw consent where we rely on it.
Some requests may be limited by our legal, registered agent or record-keeping duties. We may need to confirm your identity before responding. To make a request, email info@ascensioncorporateservices.com.
12. Third-Party Links
Our website may link to other websites, such as banks, government authorities or service providers. We are not responsible for their privacy practices. Please read their privacy policies before giving them your information.
